PARISH COUNCIL MEETING MINUTES

AUGUST 21, 2017

 

Members present: Vicki Sheipe, David Holwager, Debbie Magiera, Dan Sweet, Darren Klein, Tom Munchel, Wayne Hokey and Janet Sweet.  Also attending was Emma Bogue, Parishioner and Father John Hall. Excused from the meeting was Amy Engle.

 

Opening prayer was led by Father John.

The meeting was presided over by Dan Sweet.

 

Darren Klein made a motion with Janet Sweet seconding that the minutes from the June 19, 2017 meeting be accepted. Motion passed.

 

Financial Report –

 

Finance Report was given by Darren Klein. The checking account and the stipend account for June and July was reconciled.  Tom Munchel made a motion with Debbie Magiera. Motion passed.

Darren Klein also reported that during the Finance Committee meeting it was discussed that we make donations to the area Catholic schools – St. Gabriel (Connersville), Seton (Richmond) and St. Mary (Rushville)

 

OLD BUSINESS

 

AUCTION OF ST. ELIZABETH OF HUNGARY PLATES – The plates will be put out the weekend of September 16 and 17 for people who might be interested in them. Also, the items from the Rectory will be placed in the parish center marked with “help yourself”.

 

BULLETIN HOLDERS – Barb Ringwald was able to get two bulletin holders at a marked down rate. They were shown to the council. They met with the council’s approval. One will be placed at the side entrance of the church and the other will be placed in the foyer. This was needed as our bulletins are larger now.

 

COMBINES PARISH PICNIC (Sunday, August 27) – Father John announced that the goal for the picnic was 100 to 150 attending. As of this meeting we have 215 signed up to attend. Weather permitting Father John will have the noon Mass outside. Rihm’s will cater the picnic and parishioners are to bring desserts.

 

Carpet cleaning in the church has been done.

 

RECTORY – Apparently the only things left to be done to the downstairs Rectory is installation of electric fire place unit, hang or make a stand for the television to sit on and possibly hanging some existing pictures on the walls. Cheri Ramey is getting curtains

for the kitchen window.

 

It was also reported that Barb Ringwald has been scanning old receipts, invoices, payroll and fiscal yearend documents. They are being bagged up and place in the fireproof security locked file cabinet in the storage barn. All of the old bulletins that we had from before Fr. Bill Ehalt and Fr. Luerman’s days have been scanned and are bagged and put in the storage barn. Barb reported that she has five years to go, then she will start scanning out oldest parish record books.

 

ELECTIONS/PARISH COUNCIL STRUCTURE – The slate of officers is to be in by September 8. Elections will be held the weekend of September 16 and 17. As Charlie Ringwald has resigned from the Council, there will be four open seats for the Council now.

 

Father John thanked Charlie for his time on the Parish Council. Charlie will remain involved with the maintenance of our Parish.

 

Father John discussed the following as a possible Parish Council structure:

9 members at large

Exofficial members – discussion membership – nonvoting

     -employees

Committee – Commissions – Boards – Representatives

     -finance

     -maintenance

     -education

  (These would all have voting rights)

 

NEW BUSINESS –

DRAKE WEDDING – It was reported the using the Rectory for Sarah Drake and her bridesmaids to get ready worked out very well.

 

A suggestion was made to move the mailbox from in front of the Rectory to the Parish Center entrance from the parking lot. Barb met with Carl from the Post Office. If it is moved the mailbox would have to be mounted on a post either to the left or the right of the parking lot entrance in such a way that he can drive up to the mailbox to deliver the mail. Dave Holwager is going to talk to Barb about this.

 

The East exterior door (Parish Council meeting room) needs to be worked on. The exit door is very stiff. Barb had asked Steve Parker to take a look at it. Two things were evident: 1) there is rusting occurring – so water is causing a problem. 2) the hinges look to be pulling away and making the door not close correctly – there are gaps between door and frame. Steve said that he could replace the hinges and install s water deflector above the doorway. This would cost $140.00 to be done.  Council members were going to look at the door after the meeting.

 

Dan Sweet will talk to Steve Parker for an estimate to have three handicapped door openers installed.

 

The Evening Kiwanis asked us for a $25.00 donation for their Canal Days Car Show. After a discussion, the council didn’t feel that this really went along with charitable contributions. Wayne Hoke made a motion with Tom Munchel seconding that we talk to Barb and if we have done this in the past, we will do it this year. If we have not done this in the past let’s not do it. Motion passed.

 

A discussion was held on our Comcast bill. The Comcast box must be found or we have to pay for it – this would be around $200.00.Then our bill would be reduced. Wayne Hokey will pursue this.

 

Father John discussed ideas from the Office of Catholic Charities: This is in regards to the use of our Rectory. The Rectory could be used as a counseling center one day a week. This would be for marriage, behavioral and family counseling. There could be a minimal amount of rent charged. The feeling was that this should be pursued.  

 

Depending on the number of participants for the October Bible study with Kaitlyn, the Rectory may be used for this.

 

According to Barb Ringwald the Rectory has been rekeyed and code numbers have been added for maintenance and site usage.

 

Bats are getting in again. Water had backed up in the furnace room in the Parish Center on Saturday August 19, while checking the drains, it was very evident that bats had been in there. Wayne Hokey had Dungan's come and eel the drains on August 21. Dan Sweet stated that we cannot just have someone come in and destroy the bats as they are a protected species now.

September 16 – Pilgrimage to St. Mary of the Woods

September 16–17 – Father Luerman will celebrate the 5:00 pm and 8:00am Mass with us

September 23-24 – Mission Priest to speak at Masses

September 24 – Religious education begins

Next Parish Council meeting will be Monday, September 18, 2017 at 7:00 p.m. with Finance Committee meeting at 6:30 p.m.

David Holwager made a motion with Vicki Sheipe seconding to adjourn the meeting. Motion passed.
